    This Privacy Policy explains how Trouble Free Heating, Cooling and Plumbing Inc. ("Trouble Free," "we," "our," or "us") collects, uses, shares, and protects information when you visit troublefreeinc.com, contact us, or receive service at your home. It applies to our website and to the customer records we keep in the normal course of running a residential heating, cooling, and plumbing business.

    We serve residential homeowners in central Illinois. Our website is not intended for use outside the United States.

    1. Information We Collect

    Information you give us. When you submit a form, call us, or schedule work, we may collect:

    • Name, phone number, and email address
    • Service address and, when relevant, billing address
    • Details about the equipment or problem you describe
    • Appointment history, technician notes, and photos of the work area taken during service
    • Payment information processed by our payment provider (we do not store full card numbers)

    Information collected automatically. When you browse the site we may receive your IP address, device and browser type, referring page, pages viewed, and time on page. This comes from cookies and similar technologies described in our Cookie Policy.

    Information from others. We may receive information from home warranty companies, property owners, manufacturers handling a warranty claim, or advertising platforms that report which ad led you to us.

    We do not intentionally collect sensitive categories of personal information such as Social Security numbers, health information, biometric identifiers, or precise geolocation from website visitors. Please do not include sensitive details in a website form.

    2. How We Use Your Information

    • Schedule, perform, and document heating, cooling, plumbing, and water treatment work
    • Contact you about an appointment, estimate, part, or follow up question
    • Prepare invoices, process payment, and handle warranty claims
    • Send maintenance reminders and occasional offers when you have asked to hear from us
    • Improve our website, measure advertising, and understand which pages help customers
    • Protect against fraud and abuse of our forms, and keep records required by law

    We do not use automated decision making or profiling to decide whether to provide you service.

    3. Calls, Texts, and Email

    When you give us your phone number through a form or by phone, you agree that we may call or text you about your request, your appointment, and your service. Message and data rates may apply. Message frequency varies. Reply STOP to any text to opt out of texts, or reply HELP for help. Opting out of marketing messages does not stop transactional messages about a job already scheduled.

    You can unsubscribe from marketing email using the link in any marketing message, or by asking us during a call. Phone calls with our office may be recorded or monitored for quality and training. If you do not want a call recorded, tell the representative and use our contact form instead.

    4. How We Share Information

    We do not sell your personal information for money. We share information only in these situations:

    • Service providers. Scheduling and dispatch software, form delivery, email and text providers, payment processors, accounting, hosting, and analytics vendors who work on our behalf under contract.
    • Manufacturers and distributors. When a part or system is under warranty and the claim requires your equipment and installation details.
    • Advertising and measurement partners. Cookie based identifiers may be shared with platforms such as Google and Meta to measure ads. Under some state laws this activity can be considered "sharing" or "targeted advertising." See Section 6 for how to opt out.
    • Legal reasons. When required by law, subpoena, or to protect the rights, property, or safety of our customers, our employees, or the public.
    • Business transfer. If the company is sold or merged, customer records may transfer as part of that transaction.

    5. How Long We Keep Information

    We keep service and invoice records for as long as needed to support warranties, answer questions about past work, and meet tax and legal recordkeeping requirements, generally at least seven years. Website analytics data is kept for a shorter period set in the analytics tool. Form submissions that do not become jobs are kept only as long as needed to follow up.

    6. Your Privacy Rights and Choices

    Depending on where you live, you may have the right to:

    • Know what personal information we hold about you and request a copy
    • Correct information that is wrong
    • Ask us to delete information, subject to records we must keep
    • Opt out of targeted advertising or the sharing of information with ad platforms
    • Not be treated differently for exercising a privacy right

    To make a request, use our contact form or call the office. We will ask for enough information to confirm you are the person the records belong to, and we will respond within the time the applicable law allows. An authorized agent may submit a request with written permission from you.

    You can also limit tracking directly. Most browsers let you block or delete cookies, and browser level signals such as Global Privacy Control are honored where required by law.     7. Data Security

    Our website uses HTTPS encryption, and access to customer records is limited to staff who need it to do their job. We review our tools and vendors periodically. No website, network, or storage system is completely secure, so we cannot promise that information can never be accessed without authorization. If a breach affects your personal information, we will notify you as required by Illinois law.

    8. Third Party Links and Services

    Our website links to manufacturer sites, government rebate programs, and review platforms. Those sites have their own privacy policies and we are not responsible for how they handle your information. Review them before sharing anything personal.

    9. Children's Privacy

    Our website and services are meant for adults. We do not knowingly collect personal information from anyone under 13. If you believe a child gave us information, contact us and we will delete it.

    10. Changes to This Policy

    We may update this policy as our business, tools, or the law changes. The revision date at the top shows when it last changed. Continuing to use the website after an update means you accept the current version.
